How we handle the files you send us and the details you give us when you ask for a quote.
What we collect
When you request a quote we receive the name, email, phone number and message you enter in the form. When you upload a sample or a file we receive the audio and any documents you attach.
Please don't send patient details through the quote form. Use the encrypted upload or your own secure channel for anything clinical; the forms are for scheduling and pricing questions.
How your files are used
Files are used to produce your report and nothing else. Your dictation is not used to train AI models.
Speech recognition is used only as a first pass inside our secure environment to speed up typing. Every report is reviewed and finished by a medical-legal transcriptionist before delivery, and nothing is delivered on machine output alone.
Who can see your files
Only the typist assigned to the report, the reviewer and you. Your dashboard shows only files sent under your own account email, and download links are short-lived signed URLs rather than public addresses.
How long files are kept
Protected health information is retained only as long as your agreement allows. Tell us the retention window your office requires and we delete on that schedule.
